How do I win back lost deals?

An always-on nurture for closed-lost prospects that keeps its own audience current.

min read

Keep a closed-lost audience current in Salesforce and let marketing nurture it. SignalRx checks every contact against the win-back criteria daily and marks the ones that qualify, so your marketing platform runs an evergreen nurture: prospects enter when they qualify, leave when they book a demo or a deal opens, and nobody pulls a stale spreadsheet again.

Illustrative build for a healthcare technology company. Anonymized from a live SignalRx implementation.

The problem

Every sales team loses deals. Most of those buyers do not disappear; they pick a competitor, defer the project, or never get budget. A year later the product has changed, the buyer's situation has changed, and nobody is talking to them.

Marketing knows this audience is valuable. Building it is the problem. "Closed-lost prospects from the past year, at companies that are not customers now, with no live deal, who have not already been re-engaged" lives in four different places in Salesforce. So it gets pulled once as a spreadsheet, uploaded as a static list, and goes stale in a month.

What SignalRx changes

SignalRx keeps that audience current for you. A Revenue Play checks every contact against the criteria every day and marks the ones that qualify in Salesforce. Your marketing platform picks up that mark like any other list. The nurture becomes evergreen: contacts enter when they qualify, leave when they stop qualifying, and nobody pulls a spreadsheet again. Underneath, SignalRx tags the right data and scores every account and contact on external and internal signals, then turns those scores into Revenue Plays and lists inside Salesforce for action, with the edge coming from internal signals like revenue, support, and product usage over time plus inference across sources.

Example

A practice-management software company wanted a nine-month win-back program for closed-lost prospects: two light touches from the account executive in the first months, then a series of "what's new" emails on the product areas that have moved most.

01 · Define the audience

Your SignalRx team builds the Revenue Play with you. The criteria, in plain terms:

  • Not a current or former customer. Former customers get their own play.
  • The company lost a deal with you in the past year.
  • The company has no open deal today.

As the criteria are set, SignalRx shows how many people qualify, so the audience size is known before anything is switched on.

02 · Review the list

Before the play goes live, SignalRx shares the list with your marketing and sales leads. Anyone who should not be there is removed, and the criteria are adjusted if a pattern shows up. Nothing reaches Salesforce until this review is done.

03 · Switch it on

The play goes live. Every qualifying contact is marked in Salesforce with the play's name, on both the contact and the account. People who stop qualifying, because they become a customer or a new deal opens, drop off automatically.

04 · Connect your marketing platform

Because the play's name sits in Salesforce, your marketing platform already sees it. Pardot, HubSpot, Marketo, or Salesforce Campaigns on their own: the audience appears as a list your team can build a program on, and it updates itself. SignalRx does the setup. Exits work the same way: a prospect who books a demo leaves the list, and the emails stop.

05 · Build the program

The nurture itself lives in your marketing platform, on your templates, in your voice. In the example:

  • Month 3: a short, personal email signed by the account executive.
  • Month 8: a second personal touch.
  • Then eight product-update emails, one every two weeks.

Every call to action is tied to the play's Salesforce Campaign, so a booked meeting or a reopened deal is credited to the play. If the program needs exact timing from the date of the loss, SignalRx works from the dates you already track in Salesforce.

06 · See what it produced

Each play gets its own Salesforce Campaign. Contacts join it as they enter the nurture, every email carries it, and any meeting or deal that follows inherits it. Pipeline reopened by the play shows up in the campaign reports you already use.

What the team sees and does

  • Marketing. A list that grows and shrinks on its own, a program with entry and exit handled, and campaign reporting that needs no manual tagging.
  • Sales. The play name on the contact and the account, and on the SignalRx Intelligence Card, so an AE knows a prospect is in nurture before replying to a "we're taking another look" email.
  • Leadership. One number: pipeline reopened from lost deals, by quarter.

What to measure

  • Audience size, and how many people enter and leave each month.
  • Open, click, and reply rates by touch.
  • Meetings booked and deals reopened, credited to the play.
  • Win rate on reopened deals versus brand-new ones.

Variations SignalRx customers run

The closed-lost audience still comes from your own Salesforce, and external signals make smarter entry triggers than time since loss alone.

  • Churned customers, as a separate play with its own messaging and a longer quiet period.
  • Lost to a named competitor, when the lost reason is recorded, with competitor-specific content.
  • High Fit only, so the nurture spends effort where the account is most worth winning.
  • Budget is back, entering a prospect on a news or funding signal, a raise or new leadership, rather than on time since loss alone.
  • Champion moved, entering when LinkedIn shows your old champion left or a new decision-maker arrived.
  • Hiring signal, entering when job postings show the account is staffing the role your product serves.

What SignalRx implements for you

  • The Revenue Play, the list review, and go-live.
  • Connecting the audience to your marketing platform.
  • The Salesforce Campaign that tracks results.
  • Keeping this play clear of your other plays, so no contact is in two motions at once.
  • Ongoing tuning as your products and lost reasons change.

Kickoff to first send: 2–3 weeks. Most of it waiting on copy.
